What is BillingEngine?
BillingEngine is an accounting software that allows small businesses in particular to create and manage invoices quickly and easily.
On which devices can I use BillingEngine?
BillingEngine is a web application and can therefore be used on any device with a web browser. No installation is required.
Do I have to install anything?
No, BillingEngine is a web application and can be used directly in the browser. No installation is required.
Can I import data from other accounting programs?
No, this feature is currently not supported. However, you can manually enter your customer and item master data in BillingEngine.
Can I set up multiple senders?
No, only one sender can be set per account. However, there is nothing to prevent you from creating multiple accounts. You can switch between them with just a few clicks.
Can I set up access for my tax advisor or other employees?
Yes, this feature is available in our paid plans. Depending on the plan you choose, you can create either 2 or 5 different users.



Functions & Usage

In which format can I export my invoices?
You can download all your invoice data at any time in PDF, CSV, XLS, and XML format, regardless of the plan you choose.
In which languages can I create invoices?
Invoices, quotes, and reminders can currently be created in German, English, French, Italian, Spanish, and Dutch.
Can I hide the VAT on the invoice as a small business owner?
No, but you can simply set it to 0 in the settings.
Are my invoices machine-readable e-invoices?
Yes, all invoices you create with BillingEngine comply with the XRechnung and ZUGFeRD standards according to EN 16931 and can be electronically read by the recipient.
How can I tell if an invoice is an e-invoice?
An invoice PDF becomes an e-invoice through an embedded XML file that is not visible to the human user at first glance. You can check, for example, whether the XML data is present and valid with an online validator for e-invoices.
Do my invoice numbers have to start with 1?
No, you can also start with any higher invoice number within the year. All subsequent invoice numbers will then be automatically incremented.
How do I create a final invoice?
In a final invoice, you usually list the total price as the first invoice item and the advance payments already made as further invoice items (with a negative sign). BillingEngine then automatically calculates the remaining amount.
How do I correct an invoice that has already been sent?
You can cancel an invoice that has already been sent and create a new invoice with the correct data. The old invoice remains but is marked as cancelled. Alternatively, you can reset the invoice — if the customer has not yet read it — edit it, and send it again.
How do I delete an invoice that has already been paid?
It is best not to do this, as it would distort your accounting. To delete an invoice, you must first delete its payments and reminders.



Security & Data Protection

How secure are my data?
The security of your data is our top priority. All data is always transmitted encrypted and stored exclusively on German servers. To protect against data loss, we perform regular backups. As a registered user, you can obtain additional protection through a Data Processing Agreement with us. Our detailed Technical and Organizational Measures precisely define how we ensure the protection of your personal data.
Who can view my data?
Only you and the people you grant access to (e.g. your tax advisor or your employees) can view your data. We never pass on your data to third parties. However, you can grant our support team access to your data at any time (temporarily) by enabling the Support Access option in your settings.
How are my data encrypted?
All data that you send to BillingEngine or receive from there via your browser is always encrypted with SSL. In your browser, you will therefore always see a small padlock symbol next to our web address.
Where can I get a Data Processing Agreement?
You can download and print the Data Processing Agreement at any time in your settings.
Where is the server of BillingEngine located?
Our server is located at DigitalOcean in Frankfurt (Germany) and meets all requirements of the GDPR. We have concluded a Data Processing Agreement with DigitalOcean.
How can I delete my account?
You can delete your account and all your data at any time by clicking the Delete My Account button under My Account.



Prices & Billing

Can I use BillingEngine for free?
Yes, BillingEngine is basically free if you do not create more than 3 invoices per month. If you want to create more invoices, you can switch to one of the paid plans at any time.
What added value do the paid plans offer?
In the paid plans, you can create more invoices per month (depending on the plan you choose). In addition, the watermark on the PDFs is removed and you can use additional features such as recurring invoices and reminders. You can also set up additional access for employees or your tax advisor.
Can I switch to a different plan?
Yes. You can switch to a higher or lower plan at any time free of charge.
How can I cancel my plan?
You can cancel your plan at any time in your settings. Your plan will remain active until the end of the billing period and will then be automatically downgraded to the free plan.
Which payment methods are accepted?
We accept payments by credit card (Visa, Mastercard, American Express) and SEPA direct debit.
When will my plan be billed?
Your plan will be billed on the day of the month on which you signed up for your plan. So if you sign up for your plan on the 15th of a month, your plan will always be billed on the 15th of a month.
Will I receive a tax-deductible invoice?
Yes, every customer automatically receives a tax-deductible invoice with value-added tax from us for each payment, which you can claim as a business expense. You can also download all your invoices at any time in your account.
